    Most window and door dealers in this metro do not have a demand problem. They have a leak. Inquiries arrive from three jurisdictions, get qualified inconsistently, sit for a day, turn into measures that were never going to close, and disappear into a spreadsheet that counts leads instead of contracts. Fixing that is cheaper than buying more traffic and it improves everything you buy afterward. The work is unglamorous: qualify jurisdiction and housing type at first contact, answer the phone during the weeks that matter, instrument the path from inquiry to signed contract, and test large things one at a time because one metro will never give you the volume for anything smaller.

    The first job of intake in this metro is establishing jurisdiction, and most shops do it three questions too late.

    Because the District, suburban Maryland and Northern Virginia license and permit separately, coverage is a gating question, not a detail. Ask for the property address first, on the form and on the phone, before anything else.

    A shop working across the metro should be able to route on the address alone: which crew, which permit path, which lead time. A shop working in one jurisdiction should be able to disqualify politely and quickly, and ideally refer.

    Put the covered jurisdictions in the auto-reply and in the phone greeting. Someone who learns on day one that you do not cover their address is a minor disappointment. Someone who learns it after a scheduled measure is a complaint.

    Track disqualification as a number. If a meaningful share of inquiries fall outside your territory, the problem is upstream in targeting, and no amount of intake polish fixes it.

    Cold snaps arrive in bursts and your phone coverage has to survive them

    Demand in this market is not evenly distributed, and the days you are most likely to miss a call are the days most calls come in.

    The first hard freeze, a run of single-digit nights, an ice storm: each produces a burst of drafty-window and failed-slider calls compressed into a few days. Those are also the days your office is fielding scheduling changes and your crews are behind.

    Decide in advance who covers the surge. An answering service that can take an address, a photo request and a callback window is better than voicemail, provided the handoff is same-day.

    Measure it honestly. Pull the call log and count unanswered and abandoned calls by day. Most owners are surprised, and the number is almost always concentrated in exactly the weeks that matter most.

    Set a callback standard and hold to it. Speed to first human contact does more for close rate in this trade than anything on the website, and it costs nothing but discipline.

    In buildings around Navy Yard, Dupont Circle, Bethesda and Tysons, the owner is not the only decision maker, and a follow-up cadence built for a single homeowner will lose the job.

    A unit owner usually needs building approval before anything gets installed, and that runs on a management company's schedule, not on yours. Silence for weeks is normal and does not mean the job is dead.

    Ask early. Whether the property is a unit in a building, whether an association approval is needed, and who the management contact is. Record it as a field, not as a note nobody reads.

    Build a longer cadence for those inquiries specifically, with useful contact rather than nudges: a specification sheet the owner can submit, a written scope, availability updates. Give them the document the building actually asks for.

    Keep the quote valid or explain plainly what changes if it expires. Nothing kills a deal that was waiting on a board like a repriced estimate arriving with no explanation.

    A measure in Rockville and a measure in Alexandria cannot share an afternoon

    Beltway traffic decides how many measures your estimators actually complete, which makes scheduling a conversion problem rather than an operations one.

    An estimator who crosses the metro twice in a day does two measures. One who works a corridor does more. The difference is not effort, it is routing.

    Group by geography and by day. If Tuesday is Northern Virginia and Thursday is Montgomery County, an inquiry can be booked confidently instead of being told someone will call back to find a slot.

    The trap is that a delayed measure loses more than the extra drive costs. If corridor scheduling pushes a hot inquiry out by a week, offer a same-week alternative: a video walkthrough or a photo-based preliminary range, with the in-person measure to follow.

    Inside the District, add access to the booking conversation. Whether there is alley access or permit parking changes how long the visit takes and whether a truck can be brought at all. Asking at booking prevents a wasted trip.

    Your CRM should know whether the house is a rowhouse, a colonial or a high-rise unit

    Counting inquiries tells you nothing here, because three very different jobs are being averaged into one number.

    Record jurisdiction, property type, opening count and product line on every inquiry. Then report booked measures, quoted contracts and signed contracts against those fields rather than against the source alone.

    The picture usually changes once you do. A source that looks expensive often produces the rowhouse whole-house jobs, and a source that looks cheap often produces two-opening repairs that consume the same estimator time.

    Close the loop back to marketing. Signed contract data fed back into your ad accounts and reviewed against your organic pages changes what you spend on next quarter. Without it, everything optimizes toward the cheapest form fill.

    Keep the field list short enough that your intake person will actually complete it. Four fields filled reliably beat twelve filled sometimes.

    Sample size is the constraint, so run one change per quarter and read it in contracts

    A single metro will not produce enough inquiries to detect small effects, so test only changes large enough to see without statistics.

    Forget button colors and headline variants. At the volumes a regional dealer runs, a small lift is indistinguishable from a quiet week, and chasing it wastes months.

    Test the things capable of moving the number by a lot: the callback standard, whether the form asks for a photo, whether the first screen states your jurisdictions, whether the estimate is a single price or an opening-by-opening breakdown, whether a follow-up sequence exists at all.

    Run one at a time, sequentially, for long enough to cover a full seasonal swing where you can. Comparing January to April in this trade tells you about the weather, not about your change.

    Read results in booked measures and signed contracts, not in form fills. It is entirely possible to increase inquiries and reduce revenue, and in this trade it happens most often when a change makes qualification easier to skip.

    How much traffic do we need before split testing is worth it?
    More than a single metro window and door dealer usually has, which is why we recommend sequential testing of large changes instead. If a change is not big enough that you could see it in a month of booked measures without running statistics, it is not worth your time at this volume. Save the budget for the intake and follow-up work, which pays reliably.
    Should we quote on the phone to speed things up?
    A range, with clearly stated assumptions, generally helps more than it hurts, because it filters people whose budget is not close. A firm number without a measure is risky in this market, where openings in older housing are often not standard and access can change the labor materially. Use the range to qualify and the measure to price.
    How long should we keep following up on an unsigned quote?
    Longer than most shops do, and with useful contact rather than repeated asks. Replacement is a considered purchase, and here it is frequently waiting on an association approval, a historic review question or a budget cycle. A quarterly touch with something useful, such as an updated scope or seasonal availability, keeps you in the running without becoming a nuisance.
    Do online reviews affect our close rate or just our visibility?
    Both, though differently. Reviews influence whether you get contacted at all through the map results, and they get read again by careful buyers before they sign. Responses matter as much as ratings for this trade, because the way a firm answers a complaint about a schedule slip or a special-order delay is exactly what a cautious buyer is trying to predict.
