    Your intake, not your ad budget, is what is capping the build calendar

    Most builders in this market do not have a traffic problem. Inquiries arrive, get answered late or answered by voicemail, and go somewhere else. Conversion work here means fixing intake, routing and follow through, and it starts with a question specific to Kentuckiana: which side of the Ohio River is this address on. One metro will never hand a single builder enough volume for clean split tests, so the gains come from removing leaks you can name and from listening to calls you already recorded. Count booked site visits and signed agreements. Everything else on the report is decoration.

    Ask for the address, because plenty of Clarksville callers say Louisville

    People describe themselves as being in Louisville when they live across the river, and the whole job hangs on which state that address is in.

    Clarksville, Jeffersonville and New Albany sit in Indiana and think of themselves as part of this metro, which is exactly right socially and completely wrong for your paperwork. Requirements around licensing, tax and registration generally differ by state, and it is worth confirming your own position with your counsel or insurer before you take work on the other side.

    Make the street address the first or second thing intake captures, on the phone and in the form. City name alone will mislead you, and finding out at the site visit costs you a half day and a crew.

    Route by state from that field. A Floyd County inquiry and an Oldham County inquiry may need different paperwork, different scheduling and sometimes a different answer entirely.

    Also record the county on every inquiry, including the ones you decline. Louisville Metro and Jefferson County are a merged government while the surrounding counties are not, and process differs enough that the county belongs in your record from minute one.

    The airport shift calls at hours your voicemail owns

    A large logistics and air freight base makes early mornings and late nights ordinary here, and that is when your competitors are also unavailable.

    Pull the last few months of call logs and mark every unanswered one by hour. Most builders find a cluster well outside office hours, and every one of those is an inquiry that went to whoever picked up next.

    Coverage does not have to mean staffing a desk at 5am. An answering service briefed on your qualifying questions, or a routing rule that sends after hours calls to a phone somebody actually carries, closes most of the gap.

    Whoever answers needs one job: capture the address and book the site visit. Not quote, not explain gunite versus vinyl. A date on the calendar is the only outcome that has ever paid a builder anything.

    Speed matters more than polish. A returned call within the hour on a Tuesday morning beats a beautifully written email on Thursday, and the difference shows up in your booked visit rate quickly enough to notice.

    The Indiana paperwork gap is where signed looking deals sit for weeks

    Deals that everyone believes are done often stall on a document nobody has been assigned to produce.

    A proposal that crosses the river may need different insurance certificates, different registration details and different contract language than the Kentucky version. If those documents get assembled from scratch each time, the customer waits, and waiting is where enthusiasm dies.

    Prepare both packets in advance. Two proposal templates, two certificate sets, two checklists, so the only variable is the job itself.

    Put an owner and a date on every stalled item in the CRM. Waiting on the customer is not a status, it is an unassigned task, and it is where a large share of pool proposals quietly age out.

    Watch for the household decision too. Pool work almost always needs two people to agree, so give the person you are not talking to something they can read on their own time.

    Count the inquiries you turn away, because they price your ad geography

    Declined and out of area inquiries are the cheapest diagnostic in the building, and almost nobody records them.

    Log every inquiry you cannot serve with a reason: wrong side of the river, outside the drive radius, wrong service, not ready for a year. The volume by reason will tell you more about your marketing than any dashboard.

    A pile of Clark County declines means your paid geography is buying work you cannot do. A pile of not ready for a year means your follow up system, not your targeting, is the thing costing money.

    Keep the not ready group. A homeowner who calls in October about a spring project is a real buyer on a slower clock, and in a market with a short dig season that is completely normal rather than a dead lead.

    Set the funnel out as dates rather than statuses: inquiry received, site visit booked, site visit held, proposal delivered, agreement signed, dig scheduled. Six dates give you the drop between every pair of steps, which is where the money actually is.

    Ten recorded calls will show you more than a season of button tests

    A single builder in a single metro will not generate the volume that makes a split test meaningful, so change the instrument rather than the sample.

    Sit down with ten recorded inquiry calls and mark where each one lost momentum. What got asked, what got promised, where the caller went quiet. Patterns show up in ten calls that a year of page variants would never surface.

    Prefer changes with a large effect per inquiry over changes with a small effect per visitor. Who answers, how fast, what gets asked first and whether a visit gets booked on that call will move your numbers. Button color will not.

    When you do change something on the site, change one thing at a time and read it against a comparable stretch of season rather than against last month, because winter and spring behave nothing alike here.

    Read lost proposals as evidence too. The reasons customers give when they go elsewhere are the closest thing to research a builder gets for free.

    Let someone sign a design agreement from a phone at a loading dock

    Every step that requires a printer, a scanner or an office visit is a step where a busy buyer stops.

    Electronic signature and a simple online deposit remove days from the middle of the pipeline. In a metro where a lot of buyers work shifts, expecting them to handle paperwork during business hours is expecting a delay.

    Send the agreement while the interest is hot, ideally the same day as the site visit, and make the next action obvious. A proposal that arrives four days later has to reintroduce itself.

    Keep the document readable on a phone. Scope, inclusions, exclusions, sequence and what is still to be confirmed, near the top rather than buried under boilerplate.

    Confirm receipt like a professional. A short note saying what happens next, when you will follow up and what you need from them prevents the silence that a homeowner reads as trouble.

    Every builder believes so until they mark up a call log by hour. The calls you never saw are the ones that went to voicemail during a site visit, at 6am or after dinner. Pull three months of logs, count the unanswered ones, and decide from the number rather than from memory. Most owners are surprised.

    Is a chatbot or live chat worth adding?
    Only if it captures the address and books a visit, and only if a human takes over quickly. As an after hours capture tool it can help, since plenty of browsing in this metro happens outside office hours. As a substitute for answering the phone it usually costs more inquiries than it saves.
    How long before we know whether a change worked?
    Longer than you would like, and that is the honest answer at one builder's volume. Compare a change against the same stretch of a previous season rather than against last month, change one thing at a time, and support the numbers with recorded calls and lost proposal reasons. Nobody can promise you a lift, and anyone who does is guessing.
